This Privacy Policy governs your use of the EMS software-as-a-service (SaaS) platform, our website (ems.ad), and any associated services (collectively, the "System").

Because EMS provides tools for school administration, including user dashboards, academic tracking, and bill management, we act primarily as a Data Processor on behalf of the educational institutions (the Data Controllers) that subscribe to our System.

1. Information We Collect

To provide a comprehensive management ecosystem, we collect information in the following categories:

A. Information Provided by Educational Institutions (Our Clients)

When a school or academy registers for EMS to set up their company profile and administrative dashboard, we collect:

  • Account Information: Institution name, primary contact details, billing address, and administrative email addresses.

  • Financial Information: Payment details necessary for subscription processing and utilizing our bill management and expense tracking modules.

B. Information Processed on Behalf of Institutions (User Data)

Authorized administrators and teachers upload and manage data within the System. This may include:

  • Student Data: Names, dates of birth, enrollment details, attendance records, exam grades, assignment submissions, and disciplinary records.

  • Staff Data: Teacher and employee profiles, qualifications, schedules, staff attendance, and leave management records.

  • Parent/Guardian Data: Names, contact information, and communication logs (via our Chat and Announcement modules).

  • Campus Logistics: Transportation routes and vehicle tracking information.

C. Automatically Collected Information

When you access the EMS platform, our servers automatically collect certain technical data to ensure system stability and security, including:

  • IP addresses, browser types, and operating systems.

  • Log data, including login timestamps and feature usage tracking (e.g., which dashboard modules are accessed most frequently).

  • Cookies and similar tracking technologies to maintain session status and user preferences.


2. How We Use the Information

We strictly use the data collected to provide, maintain, and improve the EMS platform. Specifically, we use your information to:

  • Operate the System: Enable core functionalities like generating timetables, processing fee payments, creating ID cards, and managing academic sessions.

  • Provide Customer Support: Address technical issues, respond to inquiries sent to our support team, and assist with profile settings.

  • Enhance Security: Monitor for suspicious activity, prevent unauthorized access, and ensure the integrity of school data.

  • Communicate: Send administrative notices, system updates, billing alerts, and platform announcements.

Strict Prohibition on Data Mining: EMS will never sell, rent, or trade student personal information or institutional data to third parties for marketing or advertising purposes.


3. How We Share and Disclose Data

We only share data under the following limited circumstances:

  • With Third-Party Service Providers: We may share necessary data with trusted cloud hosting providers, secure payment gateways, and communication delivery services (e.g., SMS/Email notification providers) that help us operate the System. These providers are bound by strict confidentiality agreements.

  • For Legal Compliance: We may disclose information if required to do so by law, subpoena, or valid legal process, or to protect the rights and safety of EMS, our users, or the public.

  • Business Transfers: In the event of a merger, acquisition, or sale of assets, institutional data may be transferred as part of the business operations, subject to the continuation of this Privacy Policy.


4. Data Security

We implement enterprise-grade security measures to protect the sensitive information stored within EMS:

  • Encryption: Data transmitted between your browser and our servers is protected using Secure Socket Layer (SSL) / Transport Layer Security (TLS) encryption.

  • Access Controls: We utilize role-based access control (RBAC). A student cannot see another student's grades, and teachers can only access data relevant to their assigned classes.

5. Data Retention

EMS retains user data only for as long as an institution maintains an active subscription to our System, or as necessary to comply with legal obligations and resolve disputes.

  • Upon termination of a contract, the educational institution may request a full export of their data.

  • Following account closure and a standard grace period, all associated student, staff, and financial data is permanently and securely deleted from our active servers.


6. User Rights and Data Access

Because the educational institution is the Data Controller, individuals (students, parents, and teachers) seeking to access, correct, update, or delete their personal information must contact their school administration directly.

EMS provides school administrators with the necessary dashboard tools to fulfill these requests (e.g., editing a user profile, updating records, or deleting accounts). We will assist the institution in complying with these requests as required by applicable privacy laws.


7. Children’s Privacy (COPPA & FERPA Compliance)

As an education platform, EMS recognizes the critical importance of children's privacy.

  • We do not collect information directly from children under the age of 13 without verifiable consent.

  • It is the sole responsibility of the subscribing educational institution to obtain appropriate parental or guardian consent before creating student accounts and entering student data into the System.

  • Any data relating to minors is used strictly for authorized educational purposes as dictated by the school.


8. Changes to this Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our features, technology, or legal requirements. When we make significant updates, we will notify administrators via the EMS dashboard or by sending an email to the primary contact associated with the account. Continued use of the System after updates constitutes acceptance of the revised policy.
