Thank you for choosing the Education Management System (EMS). We are committed to providing educational institutions with a reliable, high-quality management platform.
This Refund & Cancellation Policy outlines the terms under which institutional subscriptions to the EMS platform ("System") can be canceled and when refunds may or may not apply. By subscribing to EMS, the subscribing school, academy, or educational body (the "Institution") agrees to these terms.
We believe in keeping things flexible. If the EMS platform no longer meets your institution's needs, you may cancel your subscription under the following conditions:
How to Cancel: Only authorized Administrative Users can request a cancellation. Cancellations must be initiated through the billing section of the EMS Administrator Dashboard or by sending an official request from the registered admin email to info.ems.ad@gmail.com.
Billing Cycle: Cancellations take effect at the end of the current paid billing cycle (whether monthly or annual).
Continued Access: Upon canceling, the Institution will retain full access to the EMS platform and all its modules until the end of the current paid billing period. You will not be billed for the subsequent cycle.
As a Software-as-a-Service (SaaS) provider, EMS incurs upfront costs to allocate server space, secure data environments, and provide onboarding support. Therefore, our standard refund policy is as follows:
General Rule (No Refunds): All subscription payments made to EMS are strictly non-refundable. We do not provide prorated refunds or credits for partially used billing periods, unused modules, or inactive user accounts.
Annual Subscriptions: If an Institution pays for an annual subscription and decides to cancel after three months, the Institution will not receive a refund for the remaining nine months, but will retain access to the System for the remainder of the paid year.
Exceptions: Refunds will only be considered in exceptional circumstances, such as:
Billing Errors: If you were accidentally charged twice due to a technical glitch on our end.
Major Service Failure: If the System experiences prolonged, catastrophic downtime that prevents core functionality, and our technical team cannot resolve the issue within a reasonable timeframe.
Note: Any exceptional refunds are granted at the sole discretion of the EMS management team.
EMS includes a Fees Management module that allows parents and students to pay tuition, exam fees, and transportation costs online.
EMS is Not the Merchant: EMS simply provides the software infrastructure for these transactions. We do not hold, process, or keep the funds paid for school fees; the money goes directly to the Institution’s designated bank account.
Fee Refund Requests: If a parent or student requires a refund for a school-related payment (e.g., an overpaid tuition bill or a canceled field trip), they must contact the Institution's financial office directly. * EMS cannot and will not issue refunds for tuition or school fees on behalf of the Institution.
EMS reserves the right to suspend or immediately terminate an Institution's access to the System without a refund under the following circumstances:
Non-Payment: Failure to pay subscription renewal fees after standard grace periods and warning notices have expired.
Breach of Terms: Violation of our Acceptable Use Policy, Master Terms and Conditions, or engaging in illegal activities using the platform.
We understand that school data is critical. When a subscription is canceled or terminated:
Data Grace Period: Following the end of your final billing cycle, EMS provides a 30-day grace period during which the Institution can log in with restricted access to export and download their data (such as student records, financial reports, and staff logs).
Permanent Deletion: Once the 30-day grace period expires, EMS will permanently and securely delete all Institution Data from our active servers in compliance with our Privacy Policy. It is the sole responsibility of the Institution to export their data before this deadline.
EMS reserves the right to modify this Refund & Cancellation Policy at any time. Any changes will be communicated to Institution administrators via email or a notice on the platform dashboard. Continued use of the System after changes are published constitutes acceptance of the new policy.
